About the Role

The position involves providing support to the Executive Team, both on an individual level with the executives and on a broader scale with internal colleagues, external suppliers, and clients. Additionally, the role encompasses overseeing day-to-day office management and performing general administrative tasks. As such, the job is multifaceted and requires a combination of professionalism, interpersonal skills, energy, and meticulous attention to detail.

Responsibilities include but not limited to:

  • Managing the Executive Team’s calendars and organizing meetings, in addition to providing administrative support for the Executive Team (as required)
  • Assisting with the travel arrangements for the Executives
  • Performing some routine administration and clerical functions and assisting the People & Culture team with administration (as required)
  • Assisting with new staff onboarding in Sydney office

Office Manager duties: 

  • Managing the day-to-day operations of the facilities
  • Liaise with building management and cleaners on maintenance issues
  • Act as and coordinate fire wardens, floor wardens and liaise with building management on training and drills
  • Responsibility for security passes for lift, office and car park
  • Dealing with incoming and outgoing mail and courier deliveries
  • Coordinate delivery and set-up of equipment for staff and office
  • Assist IT with troubleshooting server room issues
  • Manage stationery orders (minor as mostly a paperless office)
  • Coordinate office events including sending invitations and organising food and drinks
  • Oversee kitchen supplies
  • Receiving visitors to the organisation and directing them accordingly
  • Maintaining the general tidiness of the office and conference/meeting rooms including their booking registers
  • Other duties as requested by your Manager.

About you:

Essential Experience:

  • Experience with executive support
  • Previous experience as an Administrative Assistant and front office manager or office administrator
  • Experience in dealing with confidential information, and demonstrated capacity to maintain confidentiality and professional standards of behaviour
